Business manager

Written for each member of a school's staff, from the registrar to IT, and the families using the portal.

For the business manager, who holds who pays, the school's configuration and the staff compliance register.

All guides, including the first steps each member of staff takes. The training for this role takes these tasks in sessions.

Split fees between payers

A student's record, "Administration" tab, "Fees"

Needs person.billing.write.

  1. Open the student's record and choose the "Administration" tab.
  2. Under "Fees", press "Split a category" and choose the "Charge category".
  3. Add each "Payer" with their "Share", or press "Split evenly", set "From", and save.
  4. Record a sibling discount or a scholarship with "Record a concession".

Import staff from the HRIS

Settings, "Staff and accreditation"

Needs staff.record.import. It's under Settings, which only an administrator can open.

  1. Under "HRIS export mappings", press "Read an export", name the column that has each field, and press "Save the mapping".
  2. Under "Run an import", choose the "Mapping" and the export file.
  3. Press "Show me what it would do", read the result, then press "Run it".
  4. Press "Settle it" on each row the run could not decide.

Set which checks the school requires

Settings, "Staff and accreditation", "Kinds of check"

Needs staff.record.write. It's under Settings, which only an administrator can open.

  1. Under "Kinds of check", press "Change" on a check.
  2. Tick who it is "Required of", fill "Jurisdictions accepted" and "Warning period", and press "Record it".

Set when absence follow-ups go out

Settings, "Absence follow-up"

Needs tenant.settings.write. It's under Settings, which only an administrator can open.

  1. Press "Change" on the school or a campus.
  2. Set the "Time", choose the "Message", and tick "Send the follow-up".
  3. Under "Staff told", tick each role whose holders are sent the day's list, and press "Save the setting".

Set the terms and school days

Settings, "Calendar"

Needs timetable.structure.write. It's under Settings, which only an administrator can open.

  1. Press "Add a term", fill "Label", "Number", "Starts" and "Ends", and press "Save the term".
  2. Choose the term, set its "Bells" and cycle, and press the button that marks its weekdays as school days.
  3. Choose a single date to make it a holiday or a staff day, and press "Save the day".

Record a privacy request

Settings, "Privacy requests"

Needs tenant.privacy.manage. It's under Settings, which only an administrator can open.

  1. Press "Record a request" and fill what was asked for, who asked and the day it arrived.
  2. Press "Record it", and move it on with "Open" as it is answered.
